Establish team ground rules

Define team ground rules

What you will learn

  • Define team ground rules and distinguish them from formal organizational policy.
  • Explain why team participation in crafting rules increases actual buy-in.
  • Describe the effect of inconsistent enforcement on the rules' credibility.
  • Identify when and why ground rules need review and adjustment.

Team ground rules are agreed behavioral expectations — punctuality, respecting roles, how disagreements get resolved — not a formal policy imposed by senior management. Best practice is for the team itself to help craft them, not receive them ready-made from the project manager alone.

Two core terms

Ground RulesAgreed behavioral expectations, usually set by the team itself, guiding its day-to-day interactions.
Buy-inGenuine commitment resulting from participating in a decision — usually higher when the team helps set its own rules rather than receiving them ready-made.

Steps for setting effective ground rules

  1. Co-create with the team

Not imposed by the project manager alone.

  2. Document them clearly

Available for reference, not just a verbal agreement.

  3. Enforce them consistently

Regardless of the violating member's seniority or experience.

  4. Review them periodically

Whenever the team's composition or way of working changes.

What matters on the exam

  • Team participation in crafting its rules raises actual buy-in compared to externally imposed rules.
  • Exempting a member from a rule due to seniority or experience weakens the rules' credibility and the rest of the team's motivation to follow them.

Ground rules are never permanently fixed

A common mistake is assuming ground rules are set once at project start and never revisited. As team composition or working style changes, the rules need periodic review with the current team to stay effective and meaningful.
