Negotiate project agreements

Negotiate project agreements

What you will learn

  • Explain the concept of Best Alternative to a Negotiated Agreement (BATNA) and its importance.
  • Distinguish distributive negotiation from integrative negotiation.
  • Describe how a strong BATNA improves a negotiator's position.
  • Connect negotiating agreements to managing both stakeholders and vendors.

A project manager negotiates constantly — with vendors on contract terms, with stakeholders on scope or schedule, with the team on priorities. Knowing the best available alternative if negotiation fails (BATNA) is the single strongest tool determining how strong your negotiating position is, stronger than any persuasion technique on its own.

Core terms

BATNABest Alternative to a Negotiated Agreement — what you'll actually do if no deal is reached. The stronger your alternative, the more you can reject unfavorable terms without real loss.
Distributive NegotiationDistributive (win-lose) negotiation — a fixed resource split between sides, where one's gain is directly the other's loss (e.g., final price alone).
Integrative NegotiationIntegrative (win-win) negotiation — seeking solutions that expand total value for both sides together, rather than just splitting a fixed resource.

What matters on the exam

  • A question describing a negotiator accepting bad terms because they "have no other option" points to a weak BATNA, not weak negotiation skill itself.
  • Negotiating a vendor contract on price alone is usually distributive, while negotiating project scope with flexibility in deliverables and schedule leans integrative.

A strong BATNA doesn't mean rejecting everything

A strong BATNA gives you the freedom to reject bad terms, but it doesn't mean the goal is exploiting that strength to fully defeat the other side. It's often better to use your position's strength to reach an integrative agreement benefiting both sides, not to impose one-sided terms that damage a long-term relationship.
